Retention settings

We are excited to announce the release of a new module. This module offers the possibility of applying retention settings on your data.



Benefits


Retention settings ensure that your database automatically cleans up records for which the retention period has passed. There are two major benefits to this, namely:
1) all irrelevant and unused records will be removed from your database
2) personal data that is connected to these records will automatically be removed at the same time.


Retention settings

On the General tab of your source, new settings are visible. After activating the Retention Module, this area can be edited.
Retention settings ensure that the dataview of your source automatically cleans up records for which the retention period has passed.
Once a record passes the period chosen in the dropdown (based on the sys_createdOn date of the records), it will get marked for permanent deletion. The date a record will get permanently deleted will be added in the column sys_toBeDeletedOn (21 days later).




Database:

On the General tab of your database, similar settings are added. This area can be edited after activating the Retention Module as well.

The database allows for 3 different types of retention, each with their own retention period options:
1) Records that are blacklisted or excluded - all respondents that are not eligible to receive an invitation because they are either blacklisted or excluded.
2) Records that have not received an invitation - all respondents that have not received an email because they do not meet the enrollment criteria
3) Records of which the questionnaire has not started - all respondents of which the questionnaire was never accessed.


Retaining records


When you apply retention settings to your source or database, they will get marked for deletion. This permanent deletion will take place 21 days after a record gets marked. The date on which the record will be deleted is stored in the column sys_toBeDeletedOn.

If you wish to retain records that have automatically been marked for deletion (since they meet the requirements), you can choose to permanently retain these records during this 21 day period by selecting a flagged record and choosing "retain" in the actions button. The column sys_toBeDeletedOn will be upated with a date in the far future.



Activating the module
